How to evaluate a veterinary AI scribe

AI scribes are the most crowded category in veterinary software. Almost every vendor page makes the same three promises: less time on notes, better records, and a smooth fit with your practice management system. Those promises are hard to compare directly, so this guide focuses on what you can actually verify before a trial.

Start with the workflow, not the feature list

Decide which part of the visit the tool has to cover. Recording a consultation and drafting a SOAP note is a different job from producing discharge instructions, client summaries, or referral letters. Vendors often support one well and the rest partially.

• Which appointment types will use it — wellness, urgent, surgery, or emergency?
• Who reviews the draft before it reaches the medical record?
• Does the tool need a device in the room, or does it run on the clinician's phone?
• What happens when the recording fails mid-consultation?

Check the integration claim carefully

A named integration and a working integration are not the same thing. When a vendor names a PIMS, look for whether the statement describes a live, supported transfer or a planned one. VetAtlas records the exact wording and the date it was observed so you can see how specific the claim was.

Ask what the vendor does not state

Run a bounded trial

• Pick two or three clinicians and a fixed two-week window.
• Measure time from consultation end to signed note, not time spent talking to the vendor.
• Count the corrections each clinician makes per note.
• Test the export path into your PIMS on real, de-identified records before you commit.

A trial that does not measure the correction rate tends to overstate the benefit, because a fast draft that needs heavy editing is not a time saving.
